Replacing manual, error-prone processes with a centralized digital ecosystem, providing full control and visibility over every stage of the property unit handover.
SILVER #1 Award at the 2023 Sinarmas Land Innovation Awards, a corporate program dedicated to internal workflow improvement under the Digital Transformation team, this award-winning Handover Tracking System—codenamed SILVER—is a key initiative to digitize a critical business process.
The project was developed to automate the property unit handover and key asset management for Sinarmas Land. The previous workflow was heavily reliant on manual methods like Google Forms for cleaning reports, WhatsApp/email for customer coordination, and paper-based records for key borrowing. This led to various operational issues, including scheduling miscommunications, non-standardized reporting, and difficulties in tracking the location and history of unit keys.
To address these challenges, SILVER was designed as a centralized digital ecosystem for internal teams like CS, Sales, and Estates. The solution includes a web dashboard for monitoring and mobile applications for field reports and key management. The primary goal is to simplify monitoring, streamline the entire handover workflow, and ensure all key assets are tracked with accuracy and transparency.

The unit handover and key management process at Sinarmas Land was heavily reliant on inefficient and untraceable manual methods. The core problems included:
Ineffective Reporting: Cleaning staff reported their work via Google Forms, which was difficult to monitor and required manual data processing from Excel exports.
Manual Coordination: The handover scheduling process with customers was conducted via WhatsApp or email, often leading to miscommunication or missed appointments.
Centralized Key Management: A single admin managed hundreds of unit keys, causing significant delays when they were off-site. The key borrowing process was paper-based and susceptible to data loss.
Non-Standardized Reports: Key borrowing reports in Excel were not standardized, using only color-coding that was often misinterpreted and only understood by the specific PIC on duty.
